To ensure that appropriate proposal documents are issued and effective presentations delivered to prospective clients.

Task description
Potential Clients are identified as part of the ongoing Business Target Development process, the result of which may lead to the receipt of a Request for Information (RFI) or Request for Proposal (RFP).

Upon receipt of an RFI or RFP, and subject to any non-disclosure agreements, EMB and BDB will be notified of the request.

The RFP response will be drafted and tailored to meet the client requirements, and clearly state the services being offered. There may be opportunities to cross-sell between Asset Management, Property Management and Building Consultancy services. Where time allows, members of the team may visit the subject properties to form a view of the portfolio.

The draft RFP will be reviewed and approved before preparation of the final proposal document.

Depending on the nature of the proposal, the document will be finalised either internally or in conjunction with Johnston Works, and copies issued to the Client in both hard and soft copies.

The team put forward in the RFP will have the appropriate experience to support the client requirements, and a smaller team will generally be selected to attend the presentation interview with the Client. The presentation team will prepare and rehearse taking into accounts any specifics that the client has requested. Post presentation meeting, a courtesy email will be issued to the Client offering further information and discussions if required.

The formal RFP process can take up to 12 weeks to complete from receipt of initial request. If the proposal is not successful, a meeting to obtain feedback will be pursued. If the proposal is accepted, the New Client process will continue.

Additionally, a request for a proposal may be received from the Purchaser of an asset (with the Purchaser either being an existing Client or a potential new Client purchasing an asset under our existing management). In these instances, the Client Director will prepare the proposal for a specific asset and obtain approval from the Exec Chairman or Managing Director prior to issuing.
